Exhibitors will be placed across the WBENC Arena. The Arena will be broken into different industry centers which will feature a stage and rounds for programming throughout the week. Corporate Member leads from each industry will anchor the center and be surrounded by other exhibitors and sponsors.

During the exhibit application process, exhibitors will rank their top 3 preferred industry centers to be located in on the Arena floor. Exhibitors will have the option to choose from the following industry centers:

In addition, exhibitors will be able to note their competitors and collaborators during their booth application process. WBENC will make every effort possible to place exhibitors according to their preferences, however, there is no guarantee on booth placement.

  • Select Exhibitor Move-In:  Sunday, June 5 | 12:00 – 5:00pm ET
  • Full-Service Exhibitor Move-In:  Monday, June 6 |  9:00am – 5:00pm ET
  • Limited Service Exhibitor Move-In:  Tuesday, June 7 | 7:00 – 10:00am ET

Booths must be completely set-up by 10:00am ET on Tuesday, June 7.

NOTE: All day Sunday and after 4:30pm ET, overtime rates will be in effect.

WBENC Arena Hours

New in 2022, exhibitors will be accessible all three days! All exhibitors must be installed and ready to network beginning on Tuesday. Exhibitors must remain installed until Thursday at 5:00 PM.

Open Expo

Exhibitors are only required to staff their booth during Open Expo times in their assigned pavilion. They are welcome to staff their booth outside of Open Expo times however they are not required to staff their booth the entire time the Arena is open.

Exhibitors can access the Arena Floor starting 1 hour prior to the Arena opening through the Exhibitor Entrance.

NOTE: The WBENC Arena will not close for lunch, however food will be available between 12:00 – 2:00pm ET for all attendees.

  • Thursday, June 9 | 4:30 – 11:00pm ET
  • Friday, June 10 | 8:00am – 2:00pm ET

All exhibits MUST be dismantled, packed and Material Handling Agreements turned in by Friday, June 10 at 2:00pm ET. It is the sole responsibility of each exhibitor to have materials packed, identified, and cleared for shipment by that time.

Each 10’x10′ booth includes the following standard equipment:

  • 8′ High Draped Backwall in Grey & White
  • 3′ High Draped Siderails in White
  • (1) 10’ x 10′ Standard Carpet in Grey
  • (1) 6′ Draped Table in White

  • (1) Wastebasket
  • (1) 7″ x 44″ Identification Sign with Company Name & Booth Number

Note: Each exhibitor receives standard grey carpet for their booth. If a different color is needed the exhibitor will be responsible for the cost of the carpet.

AN IMPORTANT ALERT FROM WBENC ABOUT EXHIBITOR SERVICE “SCAMS” AND HOUSING “PIRATES” AND “POACHERS”

You may recall that in previous years WBENC made you aware of unauthorized parties contacting National Conference attendees, sponsors and exhibitors about securing hotel rooms for our event. We advised you to be on guard for these “pirates” or “poachers” (meeting industry terminology) who are relentless and might contact you with bogus discounts for hotel rooms or room blocks. Please stay on alert for these inquiries by unauthorized entities with regard to our 2022 conference in Atlanta, GA as well.

However, we also want to advise you that companies claiming to offer exhibitor services (such as inclusion in an exhibitor directory) have contacted some of our exhibitors from 2019 about the 2022 Conference requesting that they review, verify, and confirm pre-registered data for an Exhibitor Directory for Fairs and Exhibitions.

This request is not associated with WBENC, even though the communication references both WBENC and the Women’s Business Enterprise National Council in Washington, D.C. Do not respond to any communication requesting you verify exhibitor registration or any personal/company information.

WBENC will not solicit information to make hotel reservations or request that you take any other action related to the upcoming 2019 National Conference & Business Fair in Baltimore unless the message comes directly from WBENC, Map Your Show, Maritz or our exhibit services provider, Hargrove, Inc., or appears on the official conference website – www.wbenc.org/conference.
