  • June 6-9, 2022 – Onsite registration will open Monday, June 6, at 12pm ET at the Georgia World Congress Center in Atlanta, GA. Onsite registration will remain open through Thursday afternoon at 2pm ET.
Refund & Transfer Policy

All registration/ticket sales are final, no refunds will be issued. All exhibitor and sponsor package purchases are final and non-refundable.

Paid registrations may be transferred to another individual at your organization if you notify WBENC in writing by May 30, 2022. Send transfer and substitutions via email to wbenccustsvc@wbenc.org. Please include complete contact information for yourself as well as for the colleague who will be using the registration. All requests must be made in writing by May 30, 2022. Registrations may not be transferred to future WBENC events.

Upon making your reservation, you will be asked to submit a credit card to hold the room. All hotel reservations will include a first-night non-refundable deposit, equal to the room rate at the conference hotel of your choice. Upon check-in, this deposit will go towards your hotel stay.

Scooter Rentals
Scooters are available to rent for $65 per day through Scootaround. Please note that Scootaround requires, at minimum, 3-day notice for rentals. The pickup location is at the FedEx Office Business Centers located in the main lobby of Buildings B and C. For all inquiries regarding scooter rental at GWCC, please call 1-888-441-7575 to speak with an agent.

The well-being of all attendees is our #1 priority. Therefore, all attendees are required to complete the pre-event health screening prior to arrival.

Attendees use their email to create or login to your Crowdpass account and complete the health screening form for the WBENC National Conference.

An email has been sent to all registered attendees with a dedicated Crowdpass link for the 2022 WBENC National Conference. If you have not received it, please email wbenccustsvc@wbenc.org for the link.

• If you are vaccinated, you will upload a copy of your vaccination card into your Crowdpass account, and also bring it with you to the Conference.
• Within 24-48 hours of completing the screening, you will receive an email from support@crowdpass.co. We recommend whitelisting support@crowdpass.co in your email to ensure you receive it. 

THE CROWDPASS PROCESS

The Crowdpass solution has four stages.

  1. PENDING: Person completed their Crowdpass registration and uploaded their vaccination card. Waiting for Crowdpass to approve or reject the submission. Turn-around time for approval can take up to 4 hours.
  2. APPROVED: Crowdpass has confirmed the uploaded vaccination card meets the CDC guidelines. This person will receive an email with their Crowdpass QR Code.
  3. REJECTION: The uploaded vaccination card image is not readable. The individuals are notified by Crowdpass to re-submit the vaccination card image.
  4. NO SUBMISSION: The individual has completed the screening questions but has not submitted a vaccination card image. Crowdpass sends an email stating they can login to upload their information.

Health Screening Questions:
Question #3 Indicates the person is not vaccinated and requires on-site testing each day. On-site testing is $25 for each daily test.

RIGHT OF ENTRY PROTOCOL 

Vaccinated Attendee Right of Entry Protocol 

Vaccinated attendees must provide proof of vaccination two weeks prior to arrival.  

For the purposes of right to entry to the WBENC National Conference, at this time, a person is considered fully vaccinated following the CDC guidelines: 

  • Two weeks after their 2nd dose of Pfizer-BioNTech or Moderna vaccine.   
  • Two weeks after their first dose of the Johnson & Johnson vaccine.

All attendees must complete a daily temperature screening. Any attendee with symptoms must complete daily antigen test. 

Unvaccinated Attendee Right of Entry Protocol  

Unvaccinated attendees must complete daily antigen testing conducted by the onsite testing company and temperature screening.  

ON-SITE HEALTH AND SAFETY MEASURES 

The following protocols will be in place during the National Conference: 

  • All attendees, exhibitors, and staff must complete daily health screening in accordance with the Vaccinated and Unvaccinated Right of Entry Protocols. Please make sure to build in adequate time for travel to the GWCC each day and for the onsite health screening.

  • All attendees, exhibitors, and staff are not required to wear a mask but are welcome to do so if they prefer.
  • All attendees, exhibitors, and staff should: 
    • Not enter the National Conference campus or buses if they are experiencing any flu-like symptoms; 
    • Wash hands often with soap for at least 20 seconds and/or use an alcohol-based hand sanitizer; 
    • Avoid touching their eyes, nose, and mouths with unwashed hands; and 
    • Engage in additional responsible health and safety practices, on and off the WBENC National Conference campus.  
  • Socially distanced seating options will be provided in all venues, including at all education sessions and networking events. 

TESTING AVAILABILITY 

Onsite testing will be available throughout the event. WBENC is working with a vendor to manage the onsite health and safety plan in addition to adhering to Georgia World Congress Center, Marriott Marquis Atlanta, Westin Peachtree, and the Georgia Aquarium’s health and safety policies – all of which follow CDC guidance for meetings and events. If participants wish to test onsite, COVID-19 testing will be available onsite through the vendor; all costs are at the responsibility of the individual. 

BE WELL POLICY 

WBENC will enforce its “Be Well” policy which requires consent during registration by all participants as a condition of onsite participation. This includes the stipulation that if you feel sick or are experiencing COVID-like symptoms prior to traveling to or while onsite in Atlanta you will reconsider your participation at the event. Anyone who experiences symptoms onsite must provide a negative COVID-19 test in order to complete the health screening.

What is the WBENC National Conference?

The WBENC National Conference is the largest event of its kind for women business owners. Women’s Business Enterprises (WBEs); senior executives and procurement representatives from the Fortune 500 and the U.S. Government; and representatives from organizations whose missions align with the WBENC vision of expanding women’s business opportunities in the marketplace will converge in Atlanta, Georgia, for one pre-conference day and three days of robust programming. What are the conference dates?

Who should attend?

Everyone! The National Conference is open to WBENC-Certified Women’s Business Enterprises (WBEs), WBENC National Corporate and Government Members, Regional Partner Organizations (RPOs), Regional Corporate and Government Members, non-certified business owners (female and male), buyers and procurement representatives, supplier diversity professionals, and federal, state, and local government officials. We also look forward to welcoming international women business owners certified by WEConnect International affiliates.

Which industries will be there?

You will connect with women-owned businesses and Fortune 500 companies that are industry leaders in healthcare, travel and logistics, food and beverage, energy, retail, transportation, telecommunications, finance, banking, office supplies, and consumer-packaged goods to name a few, as well as federal, state and local government agencies.

How many attendees are expected?

The WBENC National Conference is expected to draw more than 3,000 attendees and as many as 300 exhibitors including Fortune 500 companies and America’s leading Women’s Business Enterprises (WBEs) as well as federal, state and local government agencies.

Do you publish the attendee list?

No, the full attendee list is not published due to privacy policies and risk of scams. However, a full exhibitor list will be published and regularly updated on the conference website. Attendees can also check-in on the WBENC Mobile App once the app is available. In addition, WBENC-Certified WBEs and Corporate Members can utilize WBENCLink2.0 to look up contact information for individuals within the network.

What is the WBENC Arena?

The WBENC Arena is a 300,000 sq. ft all-encompassing event experience. The three halls will feature everything from your traditional exhibitor areas to educational sessions to networking opportunities. Open across three days, the Arena is designed to maximize networking.

How is the WBENC Arena organized?

The WBENC Arena will have three halls. Each of those halls will feature three of four industry centers (detailed further in the next question). The industry centers will feature a stage as well as leading WBENC Corporate Members within the industry. Then surrounding the center will be additional exhibitors. The Arena will also have areas for eating and additional programming, networking lounges, Women Owned Demo stations and more. The majority of the Conference event will take place in the Arena.

What is Meet & Greet?

Meet & Greets are timed, roundtable discussions that allow WBEs to connect with purchasing decision-makers from major corporations and government agencies.

WBENC will host two (2) Meet & Greet sessions during the conference: Wednesday, June 8 and Thursday, June 9, both from 9:00-10:30 AM ET. No other programming is offered during these times.

Each session will have three, 25-minute rounds where the host Corporate Member and the 5-6 WBEs seated at their table will use the time to introduce themselves and their companies. Subject to availability, WBEs will be able to select a seat at a table of their choice for each round.

Sessions are open to all attendees of the Conference that are either WBENC- or WEConnect-certified.

What is an Instant Match Meeting?

New in 2022, these highly coveted, invitation-only meetings allow WBEs to connect one-on-one with Corporate Member Sponsors. Throughout the week, participating Sponsors can extend Instant Match meeting invitations to any WBE with whom they would like to have a more in-depth conversation. Meetings are held in a semi-private designated area. These meetings allow invited WBEs to connect with purchasing decision-makers from major corporations and government agencies.

Will there be pre-scheduled 1:1 MatchMaker sessions?

What should I wear?

The recommended attire for all conference activities during business hours is business casual.

The dress code changes for the evening events:

  • Tuesday, June 7 evening Welcome Reception is business casual.
  • Wednesday, June 8 Evening Event is casual.
  • Thursday, June 9 Reception & Dinner Celebration is business, formal or cocktail attire.
What can I expect from keynote speakers and panelists?

Speakers include nationally recognized experts in relevant topics on business, finance, and key trends. Top executives from major corporations who value the contributions of women in business and a host of talented women business owners with a proven track record of achievement have been invited to share their expertise through keynote speeches and by leading a number of interactive programming activities.

Will there be shuttles between the hotels and the Georgia World Congress Center?

Yes, shuttles will run continuously between the host hotels and the Georgia World Congress Center during conference events.

Which hotel is the host hotel?

WBENC has room blocks at both the Marriott Marquis Atlanta and the Westin Peachtree Atlanta — both are considered host hotels and offer discounted WBENC rates. Learn more about the host hotels here.

What and when are the onsite Health Screenings?

All attendees, exhibitors, and staff must complete daily health screening in accordance with the Vaccinated and Unvaccinated Right of Entry Protocols. Please make sure to build in adequate time for travel to the GWCC each day and for the onsite health screening. 

All attendees must complete a daily temperature screening. Any attendee with symptoms must complete daily antigen test. 

Unvaccinated attendees must complete daily antigen testing conducted by the onsite testing company and temperature screening.

What is CrowdPass Health Screening and How does it work?

CrowdPass is a Web Application Platform for Health Screening. Attendees use their email to create or login to your Crowdpass account and complete the health screening form for the WBENC National Conference.

An email has been sent to all registered attendees with a dedicated Crowdpass link for the 2022 WBENC National Conference. If you have not received it, please email wbenccustsvc@wbenc.org for the link.

• If you are vaccinated, you will upload a copy of your vaccination card into your Crowdpass account, and also bring it with you to the Conference.
• Within 24-48 hours of completing the screening, you will receive an email from support@crowdpass.co. We recommend whitelisting support@crowdpass.co to ensure you receive it. 

THE CROWDPASS PROCESS

THE CROWDPASS SOLUTION HAS FOUR STAGES.

1. PENDING: Person completed their Crowdpass registration and uploaded their vaccination card. Waiting for Crowdpass to approve or reject the submission. Turn-around time for approval can take up to 4 hours.

2. APPROVED: Crowdpass has confirmed the uploaded vaccination card meets the CDC guidelines. This person will receive an email with their Crowdpass QR Code.

3. REJECTION: The uploaded vaccination card image is not readable. The individuals are notified by Crowdpass to re-submit the vaccination card image.

4. NO SUBMISSION: The individual has completed the screening questions but has not submitted a vaccination card image. Crowdpass sends an email stating they can login to upload their information.

Health Screening Questions:
Question #3 Indicates the person is not vaccinated and requires on-site testing. On-site testing is $25 per daily test.

Why is WBENC insisting on the WBENC Right of Entry Protocol?

After careful consideration and consultation with internal and external health and safety experts, WBENC has determined that the National Conference can be the most robust, productive, and interactive conference possible by using the WBENC Right of Entry Protocol.

Are attendees required to wear masks?

As of this time, WBENC attendees are not required to wear masks but are welcome to do so if they prefer. 

What should I expect during speaker and education sessions?

In education sessions, speakers will have the option to use disposable face shields or other protective measures when presenting. WBENC will make efforts to ensure panels of speakers are spaced as much as practicable.  

Attendee/audience seating may be modified to allow for compliance with reduced capacity guidelines, and room sets may be modified to accommodate increased spacing.  

What should I expect during networking sessions?

Room sets and floorplans for formal networking sessions available within the Arena, such as Meet & Greets, will be designed to allow for social distancing. During these sessions, if attendees are struggling to hear each other then only the active speaker is able to remove their mask while they are speaking. Attendees must replace their mask as soon as their remarks are complete and before another attendee removes their mask to speak.  

WBENC is still exploring best practices for on-site informal networking events such as receptions. We will work to offer robust opportunities to engage with your peers and colleagues on-site, with modifications to traditional event settings that help mitigate risks. Specifically, events may include access to outdoor areas, individually portioned food/beverage, alternative food/beverage service protocols, adjusted spacing, and other accommodations. Please stay tuned for more details about specific National Conference networking events. 

What are the entry requirements for all special events?

Compliance with all WBENC Health and Safety Protocols is required for all WBENC attendees, exhibitors, and WBENC staff. This includes the Right of Entry Protocols. For clarification, this policy applies to all guests at WBENC special events. 

Please make sure you plan for adequate time to go through the health screening onsite each day. 

Will these protocols change?

WBENC is continuously monitoring the COVID-19 pandemic and making decisions accordingly. These protocols are subject to change based on a number of factors. WBENC is committed to keeping all attendees informed and updated as changes occur.

What does it cost to be an attendee at the WBENC National Conference?

As a sponsor or exhibitor, how do I add the names of the people who will be using the full conference admissions?

Once registration is live, you can log in through the Map Your Show Dashboard. The registration section of the Dashboard will take you to the individual attended registration section where you can register individuals whom you designate as recipients of your company’s allotted Full-Conference Passes and Day Passes. This feature requires that you include their full name, company name, and email address as well as demographic information.

What is the WBENC refund policy?

All registration/ticket sales are final; no refunds will be issued. All exhibitor and sponsor package purchases are final and non-refundable.

Are individual attendee tickets transferable?

Paid registrations may be transferred to another individual at your organization if you notify WBENC in writing by May 30, 2022. Send transfer and substitutions via email to wbenccustsvc@wbenc.org.

Please include the Name, Title, and Email for the original registrant as well as for the new colleague who will be using the registration. All requests must be made in writing by May 30, 2022.

Can I transfer my registration to the 2023 National Conference?

Registrations cannot be transferred between events.

As a sponsor and/or exhibitor I registered an individual for a full conference admission. Now, they are unable to attend. How can I transfer the registration?

Once registration is live, you can login to the registration system to access your records to make changes to allotments or purchase additional items. Sponsors and exhibitors can make changes to their allocated full conference passes and day passes (and additional registrations purchased) until May 30, 2022, when online registration closes.

What does it cost to exhibit at the National Conference?

Learn more about exhibitor packages available here.. There is a 10×10 WBE Exhibitor Package, a 10×10 Corporate Member Exhibitor Package, and a 10×10 Government and Nonprofit Exhibitor Package.

What are the exhibitor package benefits?

Each exhibitor package will include Full Conference Passes (quantity depends on package type), a 10 x 10 booth, 1 skirted table, 2 chairs, 1 waste basket, 7 x 44” sign with name and booth number on it, grey booth carpeting, and a listing in the exhibitor directory.

Do exhibitors receive a discounted rate for Full Conference Passes?

Yes, exhibitors may purchase up to three (3) additional Full Conference Passes at a discounted rate of $649 each. These additional passes are available for purchase only through the online registration process.

NOTE: All exhibitor transactions are final in accordance with the WBENC no refund policy.

When will I get my booth assignment?

If you registered before March 30 you will receive a correspondence about your booth placement during the month of April.

If you purchase a booth after April 1 you will receive a correspondence within 12 business days of the date you registered.

The booth assignment process for general exhibitors will not begin until April 1.

How is booth position on the Arena floor determined?

Booth position on the Arena floor is determined by preferences indicated during registration.

*New in 2022* When registering you will have the opportunity to identify your top 3 preferred industry areas to be located within the WBENC Arena. WBENC will work to place exhibitors according to their preferences, however preferred placement is not guaranteed.

*New in 2022* Exhibitors will have the opportunity to identify both competitors and collaborators. WBENC will work to respectively place exhibitors according to this input, however specific placement is not guaranteed.

WBENC will strive to place all exhibitors according to their preferences but cannot guarantee placement.

Do I get to pick where my booth is placed on the WBENC Arena?

When you purchase your booth package you will be able to identify your top three industry centers on the floor. The WBENC team will work to place everyone in their preferred centers, but no guarantees can be made.

What is an exclusive WBENC Turnkey Booth Package?

An exclusive WBENC Turnkey Booth Package is a pre-designed booth which will be set-up and ready for you to access beginning Tuesday, June 7, in the morning. All you have to do is arrive with your collateral and team and be ready to network. Choose from either a standard graphics package which features your company’s logo and the 2022 WBENC National Conference branding, or for an additional fee, work with Hargrove to design fully custom graphics.

These add-on packages are in addition to the base exhibitor packages.

Can I have my own custom graphics for the WBENC Turnkey Booth Package?

Yes, for an additional fee you can work with Hargrove to design fully custom graphics.

If I exhibit, do I have to be at my booth the entire time the WBENC Arena is open?

Each hall within the Arena will have specific “Open Expo” hours across Tuesday through Thursday. You are required to staff your booth during the “Open Expo” hours. Outside of those hours you are welcome to be at your booth as much or as little as you prefer.

As an exhibitor, do I receive a reserved table at meal functions?

No. Only conference Co-Chairs, featured sponsors and reception/meal function sponsors have reserved tables.

May I serve food or beverages at my booth?

Food and beverage catering services are provided by our exclusive caterer, Levy Restaurants.

Levy Restaurants is the exclusive food and beverage provider for the Georgia World Congress Center. Food and beverages shall not be brought into the building for consumption or sold by entities associated with your event, except by concessionaires designated by the Georgia World Congress Center.

Sampling

Any expo exhibitor who wishes to provide sample food or beverages that they normally produce in the ordinary course of their business is required to notify Levy, in writing, as to the nature of the proposed product sample. Items dispensed are limited to products manufactured, processed, or distributed by that exhibiting firm, must be directly related to the purpose of the show, and are dispensed in the contracted areas only.

Traffic Promotors

Other food and/or beverage items used as traffic promoters (i.e. coffee, sodas, bottled water, popcorn, etc.) MUST be purchased from Levy Restaurants.

When do I need to have my booth setup by?

Your booth must be completely set-up by 10:00am ET on Tuesday, June 7. Note, there will only be limited general contractor services available on the morning of June 6. The majority of your booth set-up must be complete by 5:00 pm ET on Monday, June 6. Please refer to the Exhibitor Kit (coming soon) for an understanding of what must be complete by Monday at 5:00pm ET.

When can I access my booth?

On Tuesday, June 7, exhibitors will have access to their booth beginning at 7:00 AM. 

On Wednesday, June 8 exhibitors will have access to the Arena beginning at 8 AM.

On Thursday, June 9 exhibitors will have access beginning at 9 AM.

 

When can I start taking down my booth?

You can begin to dismantle your booth at 4:00pm ET on Thursday, June 9.

When do I have to have my booth completely removed by?

Booths must be completely removed no later than 1:00pm ET on Friday, June 10.

Does the WBENC Arena close for lunch?

No, the WBENC Arena does not close for lunch; however, the food will be available between 12-2pm ET for all attendees.

Is electrical service included in my exhibitor package?

No, if you require any type of electricity in your booth you must purchase it through Exhibitor Services.
